SealBook - notary operations by OlympiaBack to product portfolio
SealBook-Notary operating system

One operating suite for the notary record, the case, and the business.

SealBook brings together the pieces notaries usually stitch across paper journals, PDFs, payment links, calendars, email, storage folders, and video tools. The goal is simple: every case has the right journal entry, evidence, signer workflow, fee record, report, and audit trail.

Record model

SealBook is strongest when the journal is not floating by itself.

Case first, journal bound

Every notarial act should live inside a case workspace. The case holds the client, appointment, documents, signer, service lines, evidence, fees, and status. The journal entry is created from that same case so the legal record and the business record agree.

Details

What each module needs to do in real use.

Electronic journal

State-aware journal fields, notarial act categories, signer details, fee charged, location, evidence references, edits/amendments, exports, and date-range filtering. Back to tiles

Case workspace

Open date, edit date, delete date, full activity log, service line items, case status, linked appointment, linked journal entry, and bulk creation of journal entries from selected cases. Back to tiles

Evidence vault

Multiple images, document uploads, passport/ID OCR review, thumbprint type marker where used, user confirmation before saving extracted data, legal hold, storage usage, and exportable evidence packages. Back to tiles

RON readiness

Digital seal workflow

Commission details, certificate authority info, digital certificate dates, certificate wording, PDF signing workflow, notary e-signature/stamp assets, enrollment checklist, unenroll/re-enroll support, and state-specific guidance. Back to tiles

Booking and calendar

Client email/phone, appointment type, availability, week/month/year views, reminders, online booking page, website embed/link, and automatic case prefill from bookings. Back to tiles

Payments and pricing

User-editable service categories, default pricing by act, multiple services per case, Stripe billing for subscriptions, payment methods, ACH/card options, storage tiers, and upgrade prompts when limits are reached. Back to tiles

Reports and analytics

Month, quarter, year, custom date ranges, subtle start/end date pickers, journals, cases, revenue, expenses, mileage, outstanding balances, storage usage, and exports. Back to tiles

Readiness

Strong page, honest claims.

State-aware

Rules, retention, fees, RON readiness, and journal fields should be tracked by state and reviewed before production launch.

Evidence-first

Capture what is needed, avoid unnecessary sensitive storage, and keep the audit trail readable.

Business-ready

Subscriptions, storage tiers, booking, payments, categories, reports, and administration support the operating business around the notary.

Next step

Start with a pilot notary workflow.

We can scope journal/case binding, evidence capture, booking, pricing, reporting, or RON readiness as the first pilot workflow.
